Personal data protection policy
Zhong Hua Medical Pte Ltd (ZHMPL) respects personal privacy and recognizes the importance of the personal data you submit to us. Therefore, we will strictly manage, protect and process your personal information with due diligence. We are committed to complying with the provisions and principles of the Personal Data Protection Act (PDPA) passed in 2012. Therefore, this personal data protection statement is designed to assist you in understanding how we collect, use and/or disclose your personal data.
We will collect, use and disclose your personal data in compliance with the Personal Data Protection Act 2012 (the “Act”). The Act establishes data protection law, which includes rules for the collection, use, disclosure and management of personal data. The Act also sets out the rights that individuals have to protect, access and correct their personal data, as well as the need for organizations to collect, use and disclose personal data for lawful and reasonable purposes.

1. Purpose of collection, use and disclosure of personal data
Generally, subject to the exceptions permitted by the Act, before collecting any personal data from you, we will inform you about the purposes for which your data may be collected, used and disclosed and obtain your consent.
Depending on your relationship with us, we may use and/or disclose your personal data for the following purposes:
  • Patients:

    For the purposes of routine administrative procedures for applying for and/or registering for and/or making inquiries about any treatment and/or service offered by ZHMPL;

    To provide patient support and services;

    Respond to any complaints, feedback, requests and inquiries from patients;

    To inform patients of upcoming events like conferences and forums held by ZHMPL and its affiliates that may be relevant;

    Maintain and update medical records of patients;

    Generate financial, regulatory, management or investigative reports and statistics for ZHMPL’s business and administrative purposes;

    To comply with any law, rule, regulation, code of practice or guidance, order or requirement issued by any court, legal or regulatory authority (including but not limited to disclosure to regulatory authorities, conducting audit inspections, surveillance and investigations);

    To prevent, detect and investigate crimes, offenses or breaches including those related to the security of ZHMPL premises (including but not limited to the use of security cameras, but excluding any installation of such cameras in all consultation rooms and treatment areas);

    Purposes reasonably related to the above.

  • Company staff:

    In order to fulfill its contractual, statutory and administrative obligations and responsibilities, ZHMPL will keep record of personal data of all staff. All data will be processed in accordance with the provisions of the Act, as may be amended from time to time.

    To manage your employment/contractual relationship with ZHMPL;

    For the purpose of depositing wages and other payments using your bank account details;

    Used to monitor the use of ZHMPL computer network resources;

    For photos, employee passes, news messages, etc. published on ZHMPL website;

    To administer employee benefit plans;

    To inform you of events, seminars, conferences and training courses organized by ZHMPL and its affiliated institutions;

    To disclose your personal data to government authorities where necessary for official purposes and to external third parties for or in connection with the purposes set out above or where required by law;

    For other purposes not related to the above or listed in your employment contract, but ZHMPL will notify you in writing from time to time and obtain your consent first.

  • Public and other third parties:

    ZHMPL is committed to interacting with the community and society at large. We may organize various activities, such as external services, conferences and forums, etc., and invite external stakeholders or the public to participate. Naturally, when encouraging active interaction with the public, there will often be the possibility of collecting and/or disclosing the public’s personal data. Here are some reasons/purposes:

    For security/authentication purposes for certain activities;

    As logistical/administrative purposes for certain events;

    To inform you of upcoming activities held by ZHMPL and its affiliates that may be relevant to you, such as forums, talks etc.;

    For marketing/publicity purposes (e.g. photos);

    Purposes reasonably related to the above.

Depending on the current circumstances, we may collect, use, disclose or process your personal data. The purposes for collecting, using, disclosing or processing your personal data may not be listed above. Unless the PDPA or law permits processing of your personal data without your consent, we will notify you of the purpose when we obtain your consent.
2. Disclosure of personal data to third parties
Except for disclosures of personal data permitted under statutory exemptions to the Act, we will not disclose your personal data to any third party without your prior consent. However, if the Act requires or permits it, or if the disclosure of personal data is required by law and/or regulations, or in emergency situations, we may disclose your personal data to third parties without first obtaining your consent.
3. Request for access, correction and/or withdrawal of personal data
Subject to certain exceptions in the Act, you may request from us access to and/or correction of your personal data that we currently hold, or request that we stop collecting, using and disclosing your personal data. Please send your request to admin@zhonghuamedical.com.
For requests for personal data, we will provide you with the relevant personal data within a reasonable time after you make your request. We may charge you an administrative fee, but you will be notified in advance.
Requests for correction of personal data will be processed as soon as possible after you make the request, including conducting necessary verification items. We will send the corrected information to the organization that has received the information in the past year, unless the organization does not need the corrected personal information for any legal or business purpose, or with your consent, the information will only be sent to designated organizations that have received your personal information in the past year.
For requests to withdraw consent, we will process your request within a reasonable time after you make the request, after informing you of the possible consequences of withdrawing your consent.
4. Management of personal data
If ZHMPL uses your personal data to affect your decision-making or disclose it to other organizations, we will try our best to ensure the accuracy and completeness of your personal data. Therefore, if there are any changes to the personal data you initially provided to us, please be sure to notify us and update your personal data. If you fail to notify us, we will not be responsible for any inaccuracy or incompleteness caused by your failure to update your personal data.
We will take reasonable security measures to ensure that your personal information is fully protected. We will also take appropriate security measures to prevent any unauthorized access, collection, use, disclosure, copying, modification, leakage, loss, damage and/or alteration of your personal data. However, we will not be responsible if a third party uses your personal data without authorization due to factors beyond our control. In addition, assuming that your personal data currently collected by us (i) is not relevant to the purpose for which it was collected; and (ii) no longer needs to be retained for any other legal or business purpose, we will take steps to destroy and/or anonymize your personal data..
If your personal data is transferred out of Singapore, we will comply with the provisions of the PDPA. Among other things, this includes us obtaining your consent (unless an exception is applicable under the PDPA or law) and taking appropriate steps to ensure that organizations receiving your personal data abroad are subject to legally enforceable obligations to provide personal data protection measures that are at least comparable to those under that Act. This may include us entering into a contract with a foreign institution to process the transfer of personal data, or where the PDPA or law permits the transfer of personal data in the absence of such a contract.
Our website may contain links to other websites that are not maintained by ZHMPL. Such third-party websites are subject to data and privacy protection by the third party, so it is recommended that you check the data protection policies of these websites first.
5. Updates to the data protection policy
To ensure that we manage, protect and process your personal data appropriately, we will review our policies, procedures and procedures from time to time.
We reserve the right to modify the terms of this data protection policy at our sole discretion. Any revised data protection policy will be posted on our website.

6. Precautions for Photography and Videography
Images or videos taken during events held by ZHMPL may be published on the ZHMPL website, promotional materials (such as internal and external press releases) and company brochures. In addition, images or footage may be provided to the media for publication in national or international newspapers or TCM and related magazines.
